Guidelines for presenters

No more abstract submission!

Dear authors and presenters,

we are currently receiving many emails with regard to the status of your abstract submissions. On the 19th of December 2019 we have send out emails to all presenters of the abstracts, informing about the result of the review process by our Scientific Committee. Everyone should have received an email from sj@kommunalwirtschaft.eu. Due to security aspects we used this address. Please make sure to communicate between authors and co-authors and check your inbox-folders including your spam folder, if you received information from sj@kommunalwirtschaft.eu with respect to the status of your abstract submission. Guidelines for oral presentations

The total time allotted to each speaker is 15 minutes. The chairperson will ask the audience for questions either directly after your presentation or at the end of the session. Please note that you must keep to the allotted time. The chairpersons must adhere to the speaking times set out in the final programme so that it is possible to switch between sessions. With five to six parallel sessions, this is critical to the overall success of the conference. Thank you for your cooperation.

Presentations should be prepared using PowerPoint. Please indicate the title of your presentation (as specified in the abstract), the names of the authors and your organisation on the first slide. Please integrate the INI 2021 logo (download) in the first slide. Show no more than one slide per minute of speaking time. This means approximately 12-15 slides (including the title and the acknowledgements) for your 15-minute presentation.

Make sure that the conference delegates can read your presentation:

  • Suggested minimum font size: 14
  • No more than 12 lines of text on one slide
  • Avoid lengthy tables of data
  • In the case of graphs, describe the abscissa, coordinates, units and legend for each curve.

Please send your file to the INI 2021 secretariat no later than 30 April. The name of the file should follow the format: Abstract_ID_family name of presenter_first word of the title. Example: 555_Friege_N2O.

Guidelines for poster presentations

As we want your poster to attract as much attention as possible from conference delegates, we ask that you kindly note the following important information.

All posters will be displayed for two days. We will inform you in due time of which days (Monday and Tuesday or Wednesday and Thursday). Your poster will in any case be on display parallel to the presentations on corresponding topics. All posters must have the following dimensions: DIN A0 – 841mm wide and 1189mm high (may be smaller, but not larger!)

Posters on the topics 1a & b and 2a & b will be on display on Monday and Tuesday (4th and 5th May).

Posters on the topics 3a & b, 4a & b, 5a & b, 6a, 7a & b and 8a will be on display on Wednesday and Thursday (6th and 7th May).

Please note the following rules when designing your poster:

Abstract ID top left, INI 2021 logo top right (download). Heading (min. 3 cm). Immediately below the heading the name(s) of the author(s), institution, email address (approx. 2 cm)

Please underline the contact person and ideally include a photo in order to make it easier for interested colleagues to contact him/her during the conference.

Posters should be designed in such a way that the key statements are understandable without the need for further verbal explanation.

So that delegates can understand your poster’s contents quickly and easily, it should be legible from a distance of between 2 and 3 m. We therefore recommend:

  • The font for heading and sub-heading(s) should be 3 cm high.
  • Running text should be at least 0.8 cm high, the same applies for symbols in diagrams.
  • All graphics should be at least 20 cm high.
  • Please include short explanatory sub-titles for tables and graphics.
  • Tables and diagrams should not include too much information, e.g. 4 bullet points or 3 curves.
  • The space under the graphics should be used to present the result of the test/the calculation in a few clear and concise words.

Remember: Colours, symbols and a clear structure will help to bring your message across!

Author’s account

Authors should ensure that the topic is important and relevant to the chosen session and conference themes. Please create an author’s account in order to receive your log-in address before uploading an abstract.

Abstract

Abstracts should not exceed 500 words plus heading and bibliographic references. It is highly recommended that you use the INI 2021 template, since it includes the specifications for each part of your contribution (title, authors, abstract, section titles, main text, figures, etc.). Please compile your paper in English and be sure to check it for orthographic errors. You can download the template here. Abstracts which are too long will be rejected. Please indicate the format of your contribution (oral or poster).
We ask for your understanding that it is not possible to upload more than three abstracts. The closing date is 30 September 2019. At least two independent reviewers from our Scientific Committee will decide whether or not to accept your contribution. We will inform you of their decision around mid-November.
Once a paper has been accepted, at least one of the authors must register for the conference and present it at the conference.

Publication

Abstracts of all accepted contributions will be included within the abstract system, which will be distributed to all registered conference participants. We will publish particularly important contributions to INI 2021 as full papers in a peer reviewed scientific journal.

The conference organizers are happy to announce that a joint special issue of IOP Publishing’s journals Environmental Research Communication and Environmental Research Letters will be published within the original schedule of the conference, with proposed submission deadlines of July 2020. This means that many papers may appear already ahead of the postponed conference and then can be discussed based on mature research.
The guest editors of the special issue directly invited a handful of contributions to be submitted. If you wish to also include your work in the special issue, please approach any of the guest editors with an extended abstract, a synopsis or even a draft paper to be checked for a possible inclusion. You can also use the journals’ submission system to directly upload your manuscript ready for submission and indicate you wish to contribute to the special issue. In that case will the guest editors reserve the right to divert the manuscript to the regular submission procedure of the journals, if they believe that the scope of the special issue theme is not adequately met, or if only the number of manuscripts received exceeds their capacity. Whichever way of selection has been chosen, each manuscript will undergo a full peer-review according to the standards of the journals.

We are currently negotiating to provide support for publication fees for a small number of contributions to this special issue. If your submission relies on such a support, please send an e-mail to the guest editors at ‘winiwarter(at)iiasa.ac.at’.
